This is the Privacy Policy of Yoroi Dojo Judo Club.

The purpose of this Privacy Policy is to ensure individuals understand how we process their information.

Yoroi Dojo Judo Club endeavours to comply with the General Data Protection Regulations (GDPR), Data Protection Act on the 25th May 2018 and data protection best practices. This Policy informs individuals how Yoroi Dojo Judo Club processes personal data in accordance with the principles of data protection identified in data protection legislation.

We process your personal information provided to us by individuals, whether it be provided through our website (www.yoroidojo.com) in person, by any form, email or through our member portal www.yoroidojo.com/member-portal 

By submitting your information to us and or by using the Website you consent to the use of your personal information as set out by this Privacy Policy. If you do not agree with the terms of this Privacy Policy please do not use the Website or volunteer or provide us with any personal information.

GDPR

What is GDPR?

The General Data Protection Regulations (GDPR) is new EU legislation that comes into effect on the 25th May 2018. It very clearly sets out the ways in which the privacy rights of every EU citizen must be protected and the ways in which a Personal Data can and cannot be used It places the onus on the person or entity that collects a person information (Data Controller) to comply with the legislation and to demonstrate compliance.

What is Data Protection?

Data Protection legislation is intended to protect the right to privacy of individuals (all of us) and seeks to ensure that Personal Information is used appropriately by third parties that may have it (Data Controllers).

In essence Data Protection relates to any information that can be used to identify a living person such as Name, Date of Birth, Address, Phone Number, Email address, Membership Number, IP Address, photographs etc.

There are other categories of information which currently are defined as Sensitive Personal Data which require more stringent measures of protection and these categories include religion, ethnicity, sexual orientation, trade union membership, medical information etc.

Data Protection can be summarized in the following 7 Principles:

What does Data Protection Legislation mean to me?

The legislation sets out rules about how this information (personal Information) can be obtained, how it can be used and how it is stored. Every person must give their consent for their data to be collected and processed for a specific purpose which must be communicated to them at the time the data is obtained.

They must specifically Opt-In and must be allowed to Opt-Out at any time. They must also be given the opportunity to review the consent they have given on a regular basis (i.e. Yearly).
Data must be kept safe and secure and must be kept accurate and up to date.
An Individual can request a copy of all of the personal information held about them (this is called a Subject Access Request) and must be allowed to have all of their data deleted or returned to them, if they so wish.

The Information collected about you

We value your trust. In order to honor that trust, Yoroi Dojo Judo Club adheres to ethical standards in gathering, using, and safeguarding any information you provide.

We use your personal information registered via our website for the reason detailed below, all data processed will be held as confidential, secure, will be used only for the purposes for which it was collected and will be destroyed or deleted once is it no longer necessary.

Who we give your information to

We consider your personal information to be a vital part of our relationship with you and do not sell your personal information to third parties. There are, however, certain circumstances in which we may share your personal information with certain
third parties, as follows:

We use Gym Master and GoCardless to perform certain business-related functions, such as booking a class and payment processing. These companies use your information registered are not permitted to use any personal information that we share with them for any other purpose aside from providing services to us.

Gym Master Terms and Conditions

Yoroi Dojo Judo Club uses a third party company called Gym Master to manage the booking classes. We use your information provided in Gym Master portal to facilitate your bookings http://27u.3ee.mywebsitetransfer.com/member-portal

1. Purchased Classes

All classes plan purchased are on an ongoing monthly subscription basis that will automatically renew each month for the selected plan from the card details provided at the purchase stage until such time that Yoroi Dojo Judo Club receive in writing from the
plan holder (email is acceptable) to cancel the said plan(s). Yoroi Dojo Judo Club reserves the right to cancel this membership agreement at its discretion minimum of 7 day’s notice in writing.

At least 10 days of notice is required in order to cancel a plan and avoid the next payment due being collected. A “member” who has paid in advance may only terminate due to medical reasons such as serious illness, physical disability or other extenuating
circumstances as deemed sufficient by Yoroi Dojo Judo Club management. Documentation may be required to support these claims.Yoroi Dojo Judo Club will always work to best resolve any cancellation requests in good time.

2. Membership

The Membership commences on the date stated via your sign up monthly payment and the receive of the welcome email from our Judo club, and you will be charged at a rate stated in Gymmaster monthly membership charge, by direct debit and via
the third party Gocardless. Membership allows access to Judo Yoroi Dojo Judo Club Judo classes during operating hours. Membership is personal to the “member” and the membership cannot be assigned or transferred to another person unless authorized by Yoroi Dojo Judo Club.

3. Subscriptions

All subscriptions plans run continuously on a monthly basis except free trial and drop in fees. For the other types of membership fees are charged based on the following holiday periods included within the plan; Christmas Break: closed from 23rd December until 2nd January every year.
Closed on Bank Holidays/Public Holidays. The availability to Yoroi Dojo Judo Club of a Summer Break of up to three weeks is also built into the plans however holiday cover will always be sought in order that no loss of lessons are incurred.

4. Missed Lessons

Missed lessons due to the incapacity / illness of the Instructor will not be refunded. Yoroi Dojo Judo Club will always seek to have a replacement instructor in order that no loss of lessons are incurred.

5. Membership Options:

The member will choose one of the memberships offered by Yoroi Dojo Judo Club, currently there are few options:

Kids U7

(1 class per week) paid in full for 8 weeks;

Cadets U12

Smart Fit Program (1 class per week) paid in full for 8 weeks; 
Champion Mindset Program (2 classes per week) paid in full for 8 weeks;
Be a Champion Program (2 classes per week) paid in full for the month;   
 

Juniors / Adults 

(1 class per week) paid in full for the month;  
(2 classes per week) paid in full for the month;
(3 classes per week) paid in full for the month;
 

Drop-in fee (casual visit pack)

Can only be canceled before 8 hours of your booked class start. After the 8 hours, no refund can be guaranteed

Family pack 

(1/2 classes per week) this membership entitles two individuals from the same family to select two memberships (Kids U7 membership not valid) with a discounted price [please check with the staff the discounted price].

Free trial 

Suitable for visitors trial session. Visitors can only book one free class before joining Yoroi Dojo Judo Club.

6. Prices and Fees

Fees and prices are disclosed on the prices tab of the Yoroi Dojo Judo Club third party GYMMASTER.

7. GoCardless

Yoroi Dojo Judo Club uses a third party company called GoCardless to manage the direct debit payment system. Payments to Yoroi Dojo Judo Club via direct debit must comply with the GoCardless terms and conditions. Please ask if you would like to view the direct debit documentation before signing.

8. Registering with Irish Judo Association

The annual Irish Judo Membership must be done directly with the Irish Judo Association website before your fifth week practicing Judo in our club due to insurance reasons. All students must get their license before the end of the
allowed period of a month as we comply with the Irish Judo Association policy ‘No Licence No Insurance No Judo’.

9. General Information

We do not disclose your individual visits to our site, or personal information that you provide, such as your name, e-mail address, postcode, etc., to any outside parties, except when we believe the law requires it. We are not responsible for any information inputted outside our site.

10. Feedback

Please submit any feedback to us. Feedback is used primarily for internal purposes to aid us in improving the site. Any feedback submitted becomes our property and we may use feedback, such as success stories, for marketing purposes, or to contact you for further feedback. We will seek your written or email approval before using your personal success story for marketing purposes.
